SaaS savings calculator
Compare what your software subscriptions will cost over the next three years with the cost of building and running a custom replacement you own. Enter your tools below; nothing you type leaves your browser.
How the estimate is calculated
- Current yearly spend = price per user × users × 12, added up across tools.
- SaaS over 3 years = this year's spend, plus next year's and the year after, each raised by the yearly price increase.
- Custom software over 3 years = the one-time build cost plus three years of running cost.
- Payback period = build cost divided by the monthly difference between SaaS spend and running cost.
The default build and running costs are placeholders for a modest internal tool. Change them to match a quote. A tool used by only a few people may not pay back; per-seat tools used by a growing team usually do. For the full picture, read the build-vs-buy guide and the SaaS audit checklist.
Common questions
How do I calculate what my SaaS tools really cost?
Multiply each tool's monthly price per user by the number of users, then by 12. Add any annual add-ons, overage fees, and the yearly price increase. Most businesses find their real total is higher than they assumed, because per-seat tools grow with headcount.
Is the calculator result a quote?
No. It is a first estimate based on the assumptions you enter. A real build cost depends on what the tool needs to do, which we work out in a free call or an assessment.
